THE SHORT ANSWER

Move deliberately: inventory spreadsheets and registers, appoint source owners, decide which information is necessary, clean and map records, test a representative transfer, reconcile results and establish a cut-over date. Do not upload every historical field by default. Confirm supported import formats and migration scope with the provider, and keep a controlled source copy until the school signs off.

01 / INVENTORY SOURCES

Find every register and spreadsheet that staff currently rely on.

List the files, paper books and local trackers used for admissions, learner records, fees, attendance and academic administration. Record who maintains each source, how often it changes and which team depends on it.

Identify overlapping sources and agree which one is authoritative for each field. Do not begin migration while two departments each believe their copy is final.

02 / SET MIGRATION BOUNDARIES

Decide which records are needed for the new work and why.

Separate active operational information from old history, temporary notes and data with no continuing purpose. Define the period and fields to move, and document exclusions the school may need to retain elsewhere under policy.

Ask the provider which data can be imported, how relationships are represented and what work is included. Do not assume attachments, formulas, formatting or every historic note can be transferred.

03 / CLEAN & MAP

Resolve duplicates and standardise identifiers before the first transfer.

Check names, admission identifiers, dates, class labels, fee categories and other fields relevant to the selected scope. Define how blanks, conflicting values and possible duplicate people are handled by an authorised school owner.

Map each source column to a destination field and explain transformations. Avoid silently filling missing values or changing records simply to make an import pass validation.

04 / TEST A SAMPLE

Use a representative test to expose mapping and workflow problems early.

Select records that include ordinary cases and known exceptions, such as transfers, partial payments or historical corrections where relevant. Check not only that the data appears but that staff can find and interpret it in the target workflow.

Compare key counts and sampled values back to the source. Record mismatches and correct the mapping or source before scaling the transfer.

05 / CUT-OVER & DUPLICATION

Decide when the new system becomes the working source.

Set a date and rule for updates arriving during transition. Explain whether the old register becomes read-only, who handles late changes and how approved corrections reach the new record.

Uncontrolled parallel updates create competing versions. If a temporary parallel period is essential, define its duration, reconciliation owner and exact fields that still require dual entry.

06 / SIGN-OFF & RETENTION

Reconcile the completed move and preserve only what policy requires.

Check totals, representative records, access and priority workflows before relying on the migrated data. Obtain sign-off from the responsible school owners and keep a clear record of known limitations.

Protect source files during transition and retain or dispose of them according to school policy and applicable advice. A successful upload is not the same as verified, usable information.

CODEPEX IN CONTEXT

Useful guidance begins with clear scope.

School ERP may declare data migration or related operational scope; exact file formats, fields, historic coverage and provider services must be confirmed. The school owns source-data accuracy, approvals and reconciliation.

Product-specific statements are based on the current owner-controlled capability declaration. Ask CodePex to confirm any institution-specific configuration or unlisted requirement.
