School ERP Features Checklist: What to Evaluate Beyond a Feature List

A workflow-first checklist for examining student, fee, academic, staff, reporting and access needs without mistaking a long feature list for operational fit.

THE SHORT ANSWER

Evaluate depth, not count. For every important capability area, ask who uses it, what record it depends on, how an exception is handled, what evidence a manager can review and which limits apply. Then verify the answers in a consistent demonstration using your school’s own scenarios and the current owner-approved capability declaration.

01 / THE LENS

A feature name is a starting point, not evidence of fit.

Two systems can both list ‘attendance’ and mean very different things to the school that must use them. One evaluation may stop at the presence of a menu item; another follows responsibility, correction, reporting and communication around a real attendance day. The second approach asks whether the capability fits the surrounding work and whether the institution can operate it consistently.

For each item on a vendor’s list, ask for a demonstration of the record, the person who handles it, the next hand-off and an exception. If the answer is only a slide, label it as unverified. This keeps the school’s decision anchored in what staff can actually inspect rather than in terminology that may conceal different scope.

02 / STUDENT LIFECYCLE

Follow a learner from enquiry or admission into everyday records.

Student administration touches more than initial data entry. Consider how the school identifies a learner, maintains the relevant record, associates supporting documents and carries useful context into attendance, academic activity and fees. Ask what information can be migrated and what must be reviewed or corrected before it becomes part of the new system.

Use one representative student scenario and one imperfect source record. Can staff distinguish a duplicate from a new learner? Who resolves missing details? Which user roles need to see the record? The point is not to demand that every institution use the same fields, but to establish whether the system and implementation approach can accommodate the school’s confirmed needs.

03 / FEES & FINANCE

Test obligations, collections, adjustments and reconciliation separately.

A fee capability should be evaluated through the whole accounting-for-school context: define the obligation, record collection, issue or locate a receipt, understand outstanding dues and handle an authorised concession or correction. Ask how staff reconcile the resulting information and what reviewable context is available when two records do not agree.

Be precise about what is not established by a feature name. Payment provider, settlement timeline, accounting integration, tax treatment and approval chains are separate facts that require direct confirmation. Likewise, fee administration does not automatically mean a full accounting package. Record the boundary alongside the positive evidence.

04 / ACADEMIC & STAFF WORK

Check the daily operations that sit outside the finance office.

Attendance, timetable, examinations, results, homework, staff records and payroll affect different teams and calendars. Ask each responsible group to bring one ordinary task and one exception. A teacher may need to understand how a result is reviewed; HR may need clarity about a payroll correction; a school leader may need a report for a defined period. These are distinct evaluation cases, not one generic ‘operations’ checkbox.

Be especially careful with specialist areas. Do not infer a released feature from a neighbouring product, a roadmap suggestion or a generic sales phrase. For example, Hostel is not a released School ERP capability in the owner registry. Exact feature scope should be checked against the current declaration, and any uncertainty should stay explicitly unresolved until the provider confirms it.

05 / PEOPLE & CONTROL

Evaluate permissions, communication and accountability together.

Roles determine whether the system fits how the school distributes responsibility. Review module access and the actions available to different users, including viewing, changes, print and export where supported. Ask how the school maintains accounts when an employee changes roles or leaves and what history can be reviewed for relevant activity.

Communication should be tested with the intended audience, source record and channel. Confirm the direction of communication and whether any response capability is actually declared. A school-to-parent notification is not the same as two-way messaging. Reporting and activity history also need context: they can help staff review records but do not replace the institution’s policies or explain causes automatically.

06 / IMPLEMENTATION & OVERSIGHT

Include delivery boundaries in the feature conversation.

A system’s day-to-day scope is only part of the decision. Ask how data is prepared, which source formats are accepted, who validates the records, what onboarding includes and which work can be separately scoped or charged. Clarify support arrangements and commercial terms in writing rather than assuming that an attractive feature list answers them.

If the school has multiple branches, distinguish operational accounts from owner oversight. The public architecture describes School ERP operations as separate branch subscriptions; CodePex Admin Console is the separate oversight layer. Do not evaluate an oversight console as if it were the place where branch staff perform operational work.

A FIELD GUIDE FOR YOUR TEAM

The 25-question evaluation checklist

Use these prompts in the demo and capture evidence, not just a yes/no answer. The five lenses are designed to expose scope, ownership and unresolved assumptions.

  5. Which current and historical data can be migrated, and what needs confirmation?
Representative record walkthrough, import scope and data owner.

CODEPEX IN CONTEXT

Useful guidance begins with clear scope.

The CodePex School ERP public capability registry is the source for released and limited claims. This article is an evaluation method, not a complete feature declaration. Check each requirement against the current registry and confirm product-specific details directly. School ERP Hostel is not supported; do not treat it as available. Multi-branch operations use separate School ERP subscriptions, with owner-level oversight handled separately by Admin Console.

Product-specific statements are based on the current owner-controlled capability declaration. Ask CodePex to confirm any institution-specific configuration or unlisted requirement.
