THE SHORT ANSWER
Marks should not be treated as final until the school verifies the assessment, student list, subject context, expected entries, unusual values and approved result rules. Separate missing marks from confirmed zeros or absences, assign corrections to authorised staff and obtain academic review before publication. Confirm calculation and history behavior in the product rather than assuming a grading formula.
01 / ASSESSMENT SETUP
Verify the exam, subject, class and approved scoring context first.
Before entering marks, confirm the assessment name, relevant class or section, subject, session, maximum marks and any school-defined grading rules. A mismatch in setup can make an otherwise accurate score appear invalid or attach it to the wrong group.
Identify which staff member owns the assessment and who approves changes. Confirm whether weighting, absence treatment or other calculation choices are configured in the product or remain a school procedure.
02 / STUDENT LIST
Reconcile the expected learners before treating an entry as missing.
Compare the assessment roster with the current student list and authorised exceptions. Transfers, late admissions and subject-specific participation may change who is expected. Confirm the student identity before entering or correcting a mark.
A blank, absent status and zero are not interchangeable. Agree what each means under school policy and review the product’s supported representation. Do not fill a blank with zero to make a form appear complete.
03 / ENTRY CHECKS
Check values against the maximum and source material.
Use a second-person or sample review where school controls call for it. Check values outside the expected range, repeated entries and subject mismatches against the original authorised source. Keep corrections linked to the person who reviewed them.
Avoid sharing mark sheets beyond staff who need access. If a value is disputed, hold it for academic review rather than letting a formula or aggregate total decide the outcome.
04 / CALCULATIONS & EXCEPTIONS
Verify calculations and resolve anomalies before aggregating results.
Check a representative calculation against the school’s approved example, including any weighting or grading rule. Confirm the product’s behavior and rounding conventions before using a total, percentage or grade. Do not assume a familiar formula is applied automatically.
Review missing values, unusual changes and disputed entries with the responsible teacher or academic leader. Preserve a list of open cases and avoid publishing an aggregate that hides incomplete records.
05 / ACCESS & HISTORY
Limit editing access and retain a clear correction process.
Only appropriate roles should enter or alter marks. Review permissions before the assessment cycle and remove temporary access afterward. Individual accounts support accountability; shared credentials make corrections difficult to trace.
Confirm which changes the product records and how a reviewer can retrieve history. Do not claim an immutable audit trail unless the feature is verified. Keep the school’s approval and appeal process distinct from a data-entry history.
06 / FINAL APPROVAL
Obtain academic sign-off before sharing results with students or families.
The authorised academic owner should confirm completeness, calculations, exceptions and publication timing. A result report can support this review but does not itself approve an outcome. Record who approved and which unresolved cases are handled separately.
Communicate through the school’s approved channel after checking the recipient and privacy context. Provide a suitable route for questions. Do not infer two-way replies or guaranteed delivery from a result-notification feature.
A FIELD GUIDE FOR YOUR TEAM
A marks-entry quality-control pass
Use this before an authorised school leader approves results. Preserve academic judgement and the school’s own grading rules.
| Lens | Question to ask | What to record |
