THE SHORT ANSWER
Before sharing results, verify the assessment and student list, confirm marks and calculations, resolve or clearly isolate exceptions, obtain academic approval and check recipient privacy. Record who authorised release and when. A software report can support review but should not be treated as the school’s academic decision or proof that every family received the result.
01 / RELEASE AUTHORITY
Identify who can approve results and set the release point.
Result release is an academic decision, not simply a date on the calendar. Name the role that approves the outcome, the date and the channel through which students or families will receive it. Make sure staff understand how draft, reviewed and final information are distinguished.
If the school uses more than one approval step, document what each person confirms. Do not treat a completed data-entry screen or a generated report as evidence of approval.
02 / COMPLETENESS
Check the expected cohort, subjects and assessment records.
Reconcile the student list with current class and subject context. Identify missing entries, late admissions, approved absences and any learner who should not be included. Confirm each subject and assessment belongs to the intended session.
A missing mark must not silently become zero. Apply the school’s policy for absence or incomplete work and document any case that cannot be resolved before publication.
03 / CALCULATION & REVIEW
Verify marks, totals and interpretation against school rules.
Review a representative calculation and any weighting, grade or rounding rule the school applies. Check unusual values against the source and verify that corrections have been authorised. Keep the assessment’s maximum marks and scope visible when leaders review results.
Do not compare unlike assessments or use an unexplained aggregate to make a decision. Preserve the school’s academic judgement and make sure staff can explain what a result represents.
04 / PRIVACY & ACCESS
Check who can see results before and after publication.
Student marks are sensitive academic information. Limit review access to roles that need it and verify the intended recipients before sharing. Check report exports, print copies and any screen visible in a shared office.
If the product supports a visibility setting or scheduled release, confirm exact behavior and test it with a safe record. Do not promise a particular access control or hiding behavior unless the current product configuration demonstrates it.
05 / COMMUNICATION
Explain the result and provide a separate route for questions.
Use clear language that identifies the assessment or academic period and avoids exposing another student’s information. Coordinate the message with the release decision and use current contact details under school policy.
A sent notification does not prove it was read and may not support replies. Give students and families an appropriate school contact route for questions, corrections or requests for clarification.
06 / AFTER RELEASE
Keep corrections and follow-up visible after results are shared.
If an error is found after release, assign an authorised reviewer, verify the source and decide how to correct the record and notify affected recipients. Keep the earlier release and correction context understandable under school process.
Review common questions after release to improve future assessment setup and communication. Do not quietly change a record or make a public correction that reveals unnecessary student detail.
