SCHOOL–PARENT COMMUNICATION

Keep important school communication connected to the work behind it.

A school update matters because of what it helps someone understand or do. Attendance information, fee reminders, examination results, homework and parent–teacher meeting details each belong to a different moment in school life. Bringing those messages into a considered communication workflow helps staff address the right audience with the right institutional context.

A communication practice

Start with the purpose of the message.

A clear communication process begins before anyone chooses a channel. The school first identifies the event or responsibility, then the intended recipients, and then the way the message should be sent and reviewed.

That simple discipline changes the way a product conversation unfolds. Teams can connect the feature under review to the people who use it, the records it touches and the next decision someone needs to make. It also gives the institution a practical way to distinguish what the product supports from what belongs to its own process and policy.

01 / PURPOSE

Let the school event shape the update.

An attendance notice is different from a general announcement. A fee-related message has its own context, while examination results and homework updates need to be understood in relation to a learner’s academic experience. Treating these as interchangeable notices can make communication harder to interpret.

School ERP’s declared communication scope includes messages related to attendance, fees, examination results, homework and parent–teacher meetings, along with general announcements. School teams can consider which of these message types belong in their own communications practice.

02 / AUDIENCE

Make recipient selection part of the review.

Some communication is intended for one parent. Other information belongs with a group, class or wider school audience. The audience affects what information is relevant and how carefully a message should be checked before it is sent.

The product capability includes individual and group/class communication. During a demonstration, teams can discuss how recipient groups fit the school’s existing responsibilities, especially where a message concerns a specific student or class context.

03 / CHANNEL

Choose a channel that fits the institution’s process.

In-app communication, SMS, email and WhatsApp are included in the declared School ERP channels. The school can evaluate how the available channel options, message templates and sending modes fit its communication needs.

The registry also includes manual, automated and scheduled notifications, recipient groups/classes, templates and delivery history. The exact configuration, provider requirements and operational conditions should be confirmed for the institution before adopting a process.

04 / CONTINUITY

Give staff a way to review what was communicated.

Communication history can help a school understand the institutional context of a later question: which update was sent, what it concerned and which communication process was involved. It gives teams a reference point for their own follow-up without implying that every channel works as a two-way conversation.

School ERP does not support two-way parent replies in the declared capability registry. The public page therefore describes school-to-parent communication and its history without suggesting that parents can respond inside a live message thread.

A field guide to school updates

Different school moments call for different messages.

A useful product review takes familiar school events and checks how each one is addressed, grouped, sent and revisited.

01

Attendance

A student or class-related update that should remain connected to the attendance context.

02

Fees

A fee-related notification considered alongside the school’s collection communication.

03

Examinations and results

An academic update that retains its relationship to examination and result activity.

04

Homework

A school-to-parent communication connected to homework and assignment context.

05

Parent–teacher meetings

A message associated with PTM communication and the institution’s meeting process.

06

General announcements

A broader school notice prepared for its intended audience and channel.

The communication scope covers one-way school-to-parent messages. Two-way parent replies are not part of the declared capability.

A USEFUL PRODUCT REVIEW

Review communication with the people who prepare and receive it.

For a useful evaluation, bring examples of routine messages and identify what makes them sensitive, time-bound or audience-specific. Discuss who prepares each message, who checks it, which recipients should receive it and how the school expects staff to refer to its history later.

Then review the declared channels and sending options in the product context. This keeps the conversation grounded in the school’s own communication policy and helps teams assess fit without assuming that every message should be automated or sent through every channel.

Bring your team’s real process into the discussion and ask the CodePex representative to demonstrate the declared workflow in context. Where a detail depends on configuration or institution policy, establish that requirement before deciding how it should work in your environment.
