THE SHORT ANSWER

Before analysing examination performance, verify the assessment identity, maximum marks, learner roster, subject mapping and score-entry source. Resolve blanks and out-of-range values, review authorised corrections and confirm the publication audience. A result is meaningful only in the context of its assessment rules; it should support learning conversations rather than serve as an unqualified prediction.

01 / ASSESSMENT DEFINITION

Confirm the paper, subject and scoring scale before entering marks.

Identify the examination, date, subject or paper, maximum marks and any approved grading or negative-marking rules. A score cannot be validated without knowing the scale it belongs to. Keep separate papers distinct even when they share a subject name.

Check who approved the assessment setup and whether the marking scheme changed after the test. If the system cannot represent a necessary rule, document the limitation and agree how results will be checked before entry.

02 / ROSTER & IDENTITY

Match each score to the learner who actually sat the assessment.

Use the current examination roster and check late admissions, batch transfers, exemptions and approved absences. A learner may appear under a different batch from the one used when the paper was scheduled; verify identity rather than relying on row position.

Treat absent, exempt and not-yet-entered as different conditions if the centre’s process distinguishes them. Do not use a zero as a substitute for missing information unless the assessment policy explicitly requires it.

03 / ENTRY & VALIDATION

Check every score against the permitted range and source script.

Enter marks from the approved source record and use a consistent method for decimals, rounding and special cases. Review values below zero or above the maximum, blank fields and repeated values that may indicate a copy or row-alignment error.

Where practical, use a second-person review for high-impact or bulk entry. Compare a sample or full set against marked scripts according to institutional policy. Do not rely solely on a screen total if the source marks were transposed.

04 / CORRECTIONS & HISTORY

Correct a result through a traceable and authorised process.

If an error is found, record the original value, corrected value, reason, approver and date through the available product or institutional control. Confirm how the system represents correction history before publication; do not assume an edit remains attributable automatically.

Communicate a correction to people who received the earlier result when necessary. Maintain a clear version of the final approved marks while restricting access to working copies and detailed scripts.

05 / INTERPRETATION & PRIVACY

Compare equivalent assessments and avoid turning a score into a label.

Before comparing learners or batches, check that the paper difficulty, syllabus coverage, time conditions and maximum marks are comparable. Rank and percentage each answer a different question and may hide important context such as small cohort size or a changed assessment format.

Share individual results only with authorised recipients and use aggregate views carefully. A low score may prompt a supportive discussion about preparation or understanding; it does not by itself establish ability, effort or future performance.

06 / PUBLICATION GATE

Release results only after the responsible academic role signs off.

Complete the roster, score, exception and correction checks before results are shared. Confirm which audience will see them, what explanation accompanies the result and where learners can ask about a possible error.

After publication, review reported discrepancies through a documented process. Use recurring issues to improve assessment setup and entry instructions, and confirm the product’s actual publication and visibility controls rather than promising an unverified feature.
