THE SHORT ANSWER
A coaching payroll close should verify active staff and salary structures, reconcile attendance/leave inputs, review adjustments and advances, prepare the period run, obtain the required approval and preserve payment and payslip history. Assign exceptions instead of guessing at missing inputs. Statutory filings and compliance automation remain outside the declared Campus payroll scope.
01 / ACTIVE STAFF
Confirm who belongs in the period before calculating anything.
Reconcile the active faculty/staff list with joiners, departures and role changes effective during the payroll period. Verify that each person has the appropriate salary profile and that no duplicate or inactive record is included without a documented reason.
Restrict the roster and compensation information to authorised reviewers. Resolve identity or employment-term questions with the institute’s responsible person before continuing. A payroll run cannot repair an unclear staff record.
02 / STRUCTURE & INPUTS
Check components and attendance/leave inputs against approved policy.
Review earnings and deduction components, effective changes and one-time adjustments. Confirm the attendance/leave cut-off and the role responsible for validating source entries. Keep a missing record distinct from a confirmed absence or leave decision.
Where the product links attendance and leave to payroll, verify the exact inputs, statuses and calculation effect. Do not infer that every status changes pay. Use written institute policy and authorised decisions as the governing reference.
03 / ADJUSTMENTS & ADVANCES
Verify the authority, amount and period for every exception.
Check adjustments against their reason, approval and intended period. Look for duplicate entries and confirm whether a recurring salary component or a one-time change is intended. Document the responsible reviewer for each unusual value.
Review advances and recoveries against the institute’s approved arrangement and available history. Confirm how remaining amounts are represented before using a summary. Keep disputes private and pause an uncertain deduction until the authorised owner resolves it.
04 / PREPARE & APPROVE
Review a payroll run before authorising payment.
Use the defined cut-off to prepare the period and compare unexpected variations with the prior period where appropriate. A difference is a question to investigate, not automatically an error. Check joiners, exits, schedule context and approved changes.
Follow the institute’s separation of duties: who prepares, who reviews and who approves. Confirm the product’s actual approval behavior and do not assume a second approver is enforced unless demonstrated. Record how unresolved items are handled before the run is finalised.
05 / PAYMENT & PAYSLIPS
Record the outcome and preserve staff-facing explanations.
After approval, record salary payment information through the confirmed process. A system payment record should not be described as an external bank transfer unless execution or integration is verified. Make payslips available only through the school’s approved staff-access process.
Keep history and correction handling clear. If a completed period needs adjustment, confirm how the system records the change and how staff receive an explanation. Do not overwrite past context without a traceable institutional decision.
06 / REPORTS & STATUTORY LIMITS
Use reports for review while keeping statutory work outside unverified claims.
Review reports for period completeness, unusual values and carry-forward questions. Confirm which staff and salary fields are included and limit exports to authorised reviewers. A report supports administration but does not establish that an external payment or filing occurred.
Campus does not automate statutory filing or compliance submissions. The institute must verify its obligations, calculations, deadlines and filings with qualified professionals and authoritative sources. Keep that work as a separate checklist with a responsible adviser or officer.
