THE SHORT ANSWER

A useful ERP trial tests agreed school workflows with controlled data and representative staff, rather than simply exploring menus. Define what must be proven, create realistic roles, exercise ordinary cases and corrections, and record gaps. Review reports and exports, then read current trial and commercial terms before the trial window ends.

01 / TRIAL PURPOSE

Define the decision the trial is meant to support.

A trial should answer a small number of important questions: can the school manage a representative student workflow, can staff review the records they need and are responsibilities understandable? Write the criteria before access begins. Separate ‘must work’ needs from preferences that can be discussed later.

Assign reviewers and a decision date. Include the people who will use the relevant workflows, not only the sponsor. A trial with no owner or review cadence often becomes unstructured exploration and ends without evidence.

02 / CONTROLLED DATA & USERS

Use representative data while protecting real student information.

Create fictional or appropriately de-identified examples that resemble the school’s class, section and fee context. Include an ordinary student record and a carefully chosen exception. Avoid uploading live records or documents unless the school has approved the environment, purpose, access and retention approach.

Set up users according to realistic responsibilities and confirm which access behavior is being tested. Do not share credentials among reviewers. Record where the product’s role model differs from the school’s requirements and ask how the difference is handled.

03 / EVERYDAY WORKFLOWS

Test a complete task rather than isolated screens.

Follow a workflow end to end: locate the student, review the relevant context, perform the assigned action and hand off to the next responsible person. Repeat for a fee or attendance task where appropriate. Note steps that require duplicate entry, policy decisions or a separate process outside the product.

Test with the staff member who would do the work in ordinary conditions. Ask them to explain what they would do next without coaching from the vendor. That reveals whether labels and sequence are understandable, not only whether the product can display a record.

04 / EXCEPTIONS & REPORTS

Use corrections and reporting to test how the system behaves under pressure.

A late admission, an incorrect contact or a fee adjustment may show whether the workflow remains explainable when something changes. Ask who can correct the record, what history remains and which approvals are institution-owned. Avoid making a destructive test against any live or production data.

Review one report that supports a real management question. Confirm the period, filters, included records, export format and role that may access it. A chart that looks convincing is not enough if staff cannot explain where its values came from.

05 / STAFF FIT & OPEN ITEMS

Collect usability feedback and classify every gap.

Invite each reviewer to note what was clear, what required help and what seemed to duplicate an existing process. Avoid reducing fit to a popularity vote: ask which role, task and consequence is involved. A training need, configuration question, missing capability and unclear policy are different types of gap.

Maintain a question log with the exact scenario, expected behavior and product response. Mark what was demonstrated, what is confirmed by current capability evidence and what requires written follow-up. Do not elevate roadmap discussion into a released-feature claim.

06 / COMMERCIAL DECISION

Read current trial and subscription terms before the window closes.

Confirm the active trial terms, eligibility, what happens at its end and whether a paid upgrade requires a specific action. Review current pricing, taxes, billing cadence, any annual commitment, cancellation and refund terms from the authoritative pages. Do not rely on an old screenshot or an informal message.

At the decision meeting, compare the evidence with the criteria set at the start. Record which requirements are met, which remain uncertain and what would need to change before adoption. If the school does not proceed, follow the published process for access and data handling rather than assuming how an account will be treated.

A FIELD GUIDE FOR YOUR TEAM

A six-step trial review

Use these checkpoints to make a trial decision evidence-led. Keep test data controlled and do not load identifiable student information unless the school has approved the handling and product environment.

CODEPEX IN CONTEXT

Useful guidance begins with clear scope.

The published CodePex trial terms and pricing should be consulted for current duration, eligibility, scope, upgrade timing and payment terms. This article does not create a separate offer or guarantee a feature, configuration or onboarding service. Confirm product-specific capability and trial conditions directly.

Product-specific statements are based on the current owner-controlled capability declaration. Ask CodePex to confirm any institution-specific configuration or unlisted requirement.
