Coaching Institute Report Exports: Access, Privacy and Safer Data Handling
A practical governance approach to report exports covering purpose, audience, minimum fields, secure sharing and retention.
Conceptual product view · no customer records or performance figures
THE SHORT ANSWER
A report export creates a separate copy of learner, family, staff or financial information. Before downloading, define its purpose and audience, select only necessary fields, protect the file during sharing and apply a clear retention rule. Verify the report, filters and format available in the product; after download, the institute remains responsible for the copy.
01 / PURPOSE
Name the decision the export needs to support.
An export may help reconcile fee collections, prepare an academic meeting or review batch attendance. State the purpose before selecting a report. If the decision can be made from an authorised on-screen view, a new copy may add risk without adding value.
Identify who owns the task and when the file will no longer be needed. A clear purpose makes it easier to choose the right period, fields and audience.
02 / SOURCE & FILTERS
Check the report definition and filters before downloading.
Confirm the date range, programme, batch and other applied filters. A report with the wrong period can appear authoritative while omitting a transfer or including unrelated learners. Note the selections needed to reproduce the view.
Verify what each field represents and how missing information appears. Do not treat a report total as a financial settlement or academic conclusion until the source and calculation are understood.
03 / MINIMUM AUDIENCE
Include only the fields and recipients necessary for the task.
A faculty planning session may need a roster but not fee balances. A finance review may need transaction context but not detailed examination results. Match the fields to the task and remove unnecessary personal identifiers where possible.
Confirm every recipient is authorised and has a practical reason to receive the file. Avoid public links or broad message groups for learner, guardian, payroll or financial information.
04 / SECURE HANDLING
Protect the file from download through transfer and storage.
Use the institute’s approved device and storage location. Avoid leaving downloads in a shared computer folder or attaching sensitive data to an unrelated email thread. Follow internal rules for encryption or protected transfer where required.
If a report must be printed, control copies and collection from the printer. Keep a record of who received the information when the sensitivity and policy warrant it.
05 / RETENTION & DISPOSAL
Remove temporary copies when the purpose has been completed.
Decide whether the file is a temporary working copy or a record the institution must preserve. Apply the relevant retention policy, including downloads, email attachments, local folders and printed copies. Do not delete an official record merely because a duplicate exists.
Confirm whether access can be withdrawn from shared storage and whether recipients have created further copies. The software cannot necessarily recall a file after it has been exported.
06 / PERIODIC REVIEW
Audit recurring exports and improve the underlying workflow.
Review repeated exports to see whether a stable report, role or process could reduce manual handling. Check permissions periodically and verify that people who no longer need access are removed under institutional policy.
Treat report availability as a tool, not proof that the information is complete or suitable for every decision. Keep human review, source verification and privacy obligations in the process.
A FIELD GUIDE FOR YOUR TEAM

CODEPEX IN CONTEXT
Useful guidance begins with clear scope.
Campus declares reporting areas, but specific reports, roles, fields and export formats should be verified. An export does not control downstream storage, forwarding or deletion. The institute owns its privacy, retention and access practices.
Product-specific statements are based on the current owner-controlled capability declaration. Ask CodePex to confirm any institution-specific configuration or unlisted requirement.
