How to Create a Coaching Management Software Requirements Checklist
Build a testable requirements checklist for coaching software across enquiries, admissions, learner records, batches, fees, academic work and delivery.
Conceptual product view · no customer records or performance figures
THE SHORT ANSWER
A strong coaching-software checklist starts with centre outcomes, then records workflows, roles, data, reports, implementation conditions and commercial needs. Separate must-haves from preferences and request evidence for each response. Ask vendors to classify requirements as demonstrated, configurable, manual, planned or unsupported so the centre can make an informed comparison.
01 / CENTRE CONTEXT
Describe the institute, programmes and outcomes the software should support.
Record the centre’s size, courses, batch model, operating calendar and current tools. State the problems that justify a change, such as missed enquiry follow-up or repeated fee reconciliation.
Rank outcomes so providers can respond to the same priorities. Avoid embedding a preferred product design before the centre has explained the operational need.
02 / LEARNER JOURNEY
Describe the path from first enquiry through current learner operations.
Capture how the centre receives enquiries, follows up, approves admission, records fee context and assigns a batch. Include transfers, incomplete information and changes to programme plans.
Define which actions are policy decisions and which are recordkeeping. Ask for a demonstrated scenario and note manual hand-offs or exclusions.
03 / ACADEMIC & FINANCIAL WORK
Specify attendance, examination and fee questions in operational language.
For attendance, define expected session context and correction ownership. For examinations, state assessment formats, score rules and result audiences. For fees, explain instalments, partial collections, adjustments and receipts.
Ask vendors to explain exact coverage and limitations. Do not assume transport, library, OMR, predictive analytics or automated reconciliation unless supported by current evidence.
04 / USERS, DATA & REPORTS
Map who needs each record and what the manager must be able to review.
Identify counsellor, accounts, faculty, academic and owner roles, plus the information each must view, update or export. Include account changes and sensitive staff or learner details.
Define management questions, periods and filters. Ask how reports are calculated and how corrections affect the view; do not request a chart without a decision purpose.
05 / IMPLEMENTATION & SUPPORT
Document data readiness, training capacity and the centre’s operating constraints.
List enquiry sheets, learner profiles, batch records and fee data that may need migration. Note quality risks, connectivity, devices, staff availability and the academic calendar.
Ask who configures, cleans, imports, trains and tests. Confirm support channels, timelines, escalation and separately charged work in a written response.
06 / EVIDENCE & SCORING
Require a clear response category and proof for each priority.
For each requirement, record whether it was demonstrated in the current product, requires configuration, remains manual, is planned or is unavailable. Capture assumptions, supporting documentation and unanswered questions.
Score providers against the same criteria and include delivery fit, training and total commercial terms. Keep the checklist through implementation as acceptance criteria.
A FIELD GUIDE FOR YOUR TEAM
A coaching software requirements outline
Use the same structure with every provider to compare products against the institute’s actual operating model.
| Lens | Question to ask | What to record |
|---|---|---|
| CENTRE CONTEXT | Describe the institute, programmes and outcomes the software should support. | A context brief and ranked business outcomes. |
| LEARNER JOURNEY | Describe the path from first enquiry through current learner operations. | A workflow scenario set with defined status and exception meanings. |
| ACADEMIC & FINANCIAL WORK | Specify attendance, examination and fee questions in operational language. | Test cases for academic and financial workflows. |
| USERS, DATA & REPORTS | Map who needs each record and what the manager must be able to review. | A role/data matrix and report-question definitions. |
| IMPLEMENTATION & SUPPORT | Document data readiness, training capacity and the centre’s operating constraints. | A delivery responsibility map with dependencies and risks. |
| EVIDENCE & SCORING | Require a clear response category and proof for each priority. | A comparable evidence matrix and implementation test plan. |
CODEPEX IN CONTEXT
Useful guidance begins with clear scope.
For CodePex Campus, current public capability declarations are controlled by the repository capability registry. Confirm product details and delivery scope directly; this checklist does not claim every item is available in Campus.
Product-specific statements are based on the current owner-controlled capability declaration. Ask CodePex to confirm any institution-specific configuration or unlisted requirement.
