THE SHORT ANSWER
Ask a provider to demonstrate enquiry follow-up, admissions, learner and batch records, attendance, fees and examinations where those are priorities. Clarify permissions, report definitions, migration, training, support, billing and exit terms. For each answer, distinguish released and demonstrated behavior from configuration, manual work, roadmap or unsupported scope.
01 / DEMONSTRATED WORKFLOWS
Ask for a complete centre scenario, including the exception path.
Choose real tasks such as recording an enquiry, confirming admission, assigning a batch or reconciling a fee instalment. Ask the provider to show the user roles, data and final record, not just navigate between feature screens.
Ask what is released, configurable, manual, planned or unavailable. Get material limitations and dependencies in writing.
02 / ACADEMIC & BATCH CONTEXT
Check how the system represents courses, batches and learner changes.
Ask how a learner’s course and batch are assigned, how a transfer is recorded and what faculty need to see for attendance and examinations. Confirm how the centre handles a course change or a schedule that is still being finalised.
Do not assume the software makes academic placement decisions or supports transport or library workflows. Verify each requirement against current scope.
03 / FEES & REPORTS
Understand receipt context, adjustments and what a summary includes.
Test the centre’s fee schedule, instalments, partial collection and authorised adjustment cases. Ask how receipts are referenced and what the reporting period represents.
Separate operational collection data from gateway settlement or accounting functions. Ask for report definitions and verify totals against sample source records.
04 / ACCESS & COMMUNICATION
Clarify roles, sensitive information and outbound channel behavior.
Ask which staff can view, update and export learner, family, faculty and payroll information. Verify how access changes are handled after a staff transfer or departure.
For messaging, confirm supported channels, setup requirements, scheduling and history. Ask whether replies are supported; do not assume an outbound message creates two-way conversation management.
05 / IMPLEMENTATION & SUPPORT
Agree who prepares data, trains users and resolves early issues.
Request a clear division of provider and centre work for setup, migration, data cleanup, training and acceptance testing. Clarify timelines, dependencies, contact people and any separately charged activity.
Ask about support hours, escalation and service-interruption communication. Keep a centre-owned continuity plan rather than assuming every operational contingency is covered.
06 / COMMERCIAL & EXIT
Compare full terms and confirm how the centre can retrieve its information.
Review billing cadence, tax, renewal, cancellation, included scope and optional charges. Compare offers on the same assumptions and confirm what happens if the centre’s needs change.
Ask about data access and export at subscription end, including formats, history, timing and fees. Record every unresolved answer before choosing a provider.
