THE SHORT ANSWER
Connect staff onboarding, role changes and departures to an authorised system owner. Give each person appropriate access, review permissions when responsibilities change, set an end date for temporary cover and remove access promptly at departure. Transfer open work without sharing credentials, and verify account, session and history behavior with the product provider.
01 / JOINER NOTICE
Make a staff start date trigger a clear account request.
A manager or authorised HR owner should notify the account administrator with the person’s identity, work responsibility, start date and required tasks. Avoid sharing unrelated employment information with people configuring access.
Define how identity is verified and who approves the role. Do not create a broad account first and promise to narrow it later.
02 / ROLE-BASED ACCESS
Grant the permissions needed for the person’s actual centre work.
Counsellors, faculty, accounts staff and centre leaders may need different views. Map actions to responsibilities, including reports and exports, and protect learner and payroll details.
Test access with a representative user and verify exact capabilities in the configured service. Use an individual account rather than sharing an existing colleague’s credentials.
03 / ROLE CHANGE
Review access whenever a person moves between responsibilities.
A counsellor promoted to centre administration may need new permissions and may no longer need prior access. Compare old and new duties, set an effective date and review reports or data exports affected by the change.
Record the approver and confirm whether the product retains prior assignment or activity context. Avoid leaving combined access from every previous role indefinitely.
04 / TEMPORARY COVER
Set an expiry and owner for access granted during leave or urgent cover.
Temporary coverage should identify which tasks are covered, what information is needed and when the access ends. Keep it narrow and communicate the temporary responsibility to the affected team.
Schedule removal when granting access so the end date is not dependent on someone remembering after the employee returns.
05 / DEPARTURE & HAND-OFF
Close access and reassign open learner and finance work safely.
Use the authorised departure notice to review account status, sessions, reports and approved shared folders. Identify open enquiries, admissions, batch coordination or fee questions and assign them to current staff.
Never transfer a password. Preserve appropriate operational history and confirm how the system treats records associated with a disabled user.
06 / REVIEW & EVIDENCE
Keep the active-user list current and document exceptions.
Reconcile active accounts with the current staff roster on a set cadence. Track unclear ownership, stale access and any unresolved product behavior with a reviewer and due date.
A reliable lifecycle helps the centre protect learner and staff data while ensuring authorised people can continue work. Keep the process owned by both institute leadership and the system administrator.

CODEPEX IN CONTEXT
Useful guidance begins with clear scope.
